GHS Meeting Nov 16, 2022

 

Attendees: Erin Van Auken, Madine Reed, Barb Brown, Ken Brown, Marci Hayes and Galina Chernaya

New Business

Discussion of revision of GHS bylaws

 

  • Change to annual meeting date, annual dues timing and definition of “year”

    • Attendees moved to change annual meeting date to 1st Monday of Oct

    • Attendees moved to change a year from being defined as Jan 1- Dec 31 to Nov 1- Oct 31 to align with the annual meeting

    • Dues will now be due on or before the annual meeting for the upcoming year

 

All attendees supported these changes and they will be submitted in Dec for the final vote.

 

  • Membership Director position

    • Dues collection will transition to the Treasurer role- Barb Brown

    • Erin Van Auken nominated to take over Membership Director position to support Barb and handle other position tasks

      • Erin will work with Marci on website support, social media and assist with obtaining a website domain for GHS if needed

 

  • GHS needs to determine a primary and alternate liaison to the Selectboard. These representatives will attend Selectboard meetings to present GHS requests for funding use, events, etc. and provide representation at the meeting.

  • This decision will be a focus for the Jan GHS meeting

 

Old Business

 

Hole in the hall roof

 

Based on the Sept meeting minutes, Thomasina was going to work with Tim Clark to have an estimate presented for the repairs. GHS has $4k earmarked for the work. This does not appear to have been done to date. Galina took the action item to reach out in regard to the status of the contractor and will report back in the Dec meeting.

 

Bank Account and EIN

 

While waiting for an EIN, Barb and Ken have agreed to check with their bank about a new account for use of the GHS for membership dues. They will report back at the Dec meeting.

 

Membership Update

 

Town website updated to reflect Barb Browns address for sending membership dues.

 

Marci will update the site/form to reflect any changes to mail the form with dues. (Believe this may be complete.)

 

Event Update

 

Decision made to have membership forms at the event.

 

A donation jar will be setup requesting donations for hall improvements (ie:painting, ADA compliance changes, etc.)

 

Silhouettes of the soldiers will be created with a soldiers name, birth/death info and regiment.

Additional details about them will be on a sheet below the silhouette. Madine to work on a template of the information we will share about the soldiers.

 

Day of the event, front entrance will be open

 

Tables will be set up in the social area in the center of the room between the columns with area around the permiter for attendees to view the displays.

 

Refreshments (cookies and cider) will be served in the kitchen pass through. Attendees tried the Ginger cakes and Tea cake cookie samples Erin brought and have decided to move forward with those options. Barb will obtain the cider for the event and Madine is working on getting small glasses for use at the event.

 

Galina volunteered to have 2 signs made about the event to put up in Goshen. Marci will send a PDF of the flyer to Galina.

 

Flyers have been printed and members took these to put up in nearby towns.

 

Marci shared the event Facebook page and attendees agreed that the wording on that page would also make a nice ad/article for the paper. Marci will work on getting something published in the paper for awareness.

 

Reviewed songs from the working session to be used at the event. Marci will share seasonal background music that can be played in the background in the social area. Carols to be sung (first verse only) during the event will be: O Come All Ye Faithful, Hark the Herald Angels Sing and Deck the Halls.

 

Abigail Hayes will read a passage. “Of Vermont” about the heroism of Vermont soldiers during the war at the start of the program prior to the other presenters.

 

Need to finalize program content and order of events.

 

Next event working session: Nov 22 at 6 pm

Cleaning Day: Nov 21 at 10 am

Final cleaning/set-up will be some time between Dec 6-9. Final date to be determined.
